🔄 What to expect (process)
Request submission: Submit a request with the device type, manufacturer/model, serial number if available, purpose, physical location, department owner, required date, and vendor or contractor contact information if applicable.
Review and intake: IT reviews the request to confirm the device is university-owned or approved, identifies the appropriate network, and checks whether the device requires special configuration, firewall rules, static addressing, vendor access, or integration with campus systems.
Security, privacy, and procurement considerations: New or cloud-connected devices may require review for data collection, video/audio recording, authentication, encryption, lifecycle support, vendor terms, and compliance with university privacy and security requirements.
Coordination and scheduling: IT may coordinate with the requester, Facilities, Campus Safety, Procurement, vendors, or contractors to schedule installation, cabling, access to rooms, testing windows, and any service interruptions.
Configuration and testing: Approved devices are documented, connected to the appropriate network, configured where required, and tested for connectivity, monitoring, and expected functionality.
Resolution and follow-up: IT confirms the outcome with the requester, provides any relevant support details, and may document ownership, location, vendor contacts, and replacement or renewal considerations for future support.
