Use this service to request imaging or software deployment for teaching labs and classrooms. IT helps ensure computers are prepared with the required software, settings, and licensing before each academic term.

Classroom and lab software request deadlines

To ensure lab and classroom software updates are prepared in time for each academic term, Information Technology (IT) deploys approved software updates during four key periods each year. Software requests, licensing details, and installation packages must be submitted before the applicable deadline.

What IT provides

IT will support the proper deployment of approved software packages for lab and classroom use by providing:

  • Installation, setup, testing, and troubleshooting of licensing servers.

  • Quality control and testing of the requested software.

  • Deployment into the requested labs and/or classrooms.

  • Final testing and acceptance with the requester.

What requesters need to provide

  • Software licenses and licensing information.

  • Installation packages, media, or vendor download details.

  • Version requirements, course or curriculum constraints, and any special configuration instructions.

  • Enough time for IT to test compatibility with existing classroom and lab software.

Important: More than 100 individual software titles are included in software packages across over 100 rooms on campus. Meeting the submission deadlines is critical to allow enough time for deployment, quality control, and testing.

Every effort will be made to install the latest production version of requested software to address security issues and bug fixes. In some cases, a specific software version may be required because of curriculum constraints or compatibility with other packages. If an incompatibility is identified, IT will communicate with the requester and, where time allows, work to resolve it.

🔄 What to expect (process)

  1. Submit a request with the software name, version, course or room requirements, required deployment date, licensing details, installation package or vendor download link, and any special configuration instructions.

  2. IT will review the request to confirm the scope, required labs or classrooms, licensing information, installer availability, and whether the request can be completed within the applicable deployment window.

  3. If information is missing, IT may contact the requester for clarification, updated installation files, licence keys, vendor documentation, or testing instructions.

  4. Approved software will be packaged, installed, configured, and tested for compatibility with existing classroom and lab software.

  5. Where needed, IT may coordinate with the requester to validate the software in the target lab or classroom before it is released for teaching use.

  6. Requests submitted after the published deadline, or requests with incomplete licensing or installation details, may be deferred to the next available deployment window.
