Laurentian University provides assistance with individual software licences for teaching, learning, research, and administrative work. This includes helping eligible users obtain new licences, renew existing subscriptions, transfer licences when roles change, and troubleshoot access where the software is not covered by a campus-wide agreement.

Who can use this service?

  • Laurentian University employees

  • Faculty and researchers requiring specialized software

  • Students where a licence is required for a course, research, placement, or approved university activity

  • Contractors or affiliates with an active Laurentian account and departmental approval

What this service includes

  • New individual software licence requests

  • Renewals, transfers, and cancellations

  • Licence assignment and access troubleshooting

  • Guidance on eligibility, procurement, and available campus alternatives

What this service does not include

  • Personal software purchases for non-university use

  • Software not approved for privacy, security, accessibility, or procurement requirements

  • Hardware purchases or classroom/lab software deployment requests

  • Training, tutorials, or guidance on how to use the software; users should consult vendor documentation, departmental resources, or approved training materials where available.

🔄 What to expect (process)

  1. Request submission — Submit a software licensing request with the software name, vendor, version, number of users, required date, intended use, funding source, and any quote or approval documentation you already have.

  2. Review and eligibility check — IT reviews the request to confirm eligibility, licensing requirements, and whether the software is already available through an existing Laurentian licence or campus agreement.

  3. Follow-up if more information is needed — You may be contacted for additional details such as course or research requirements, user lists, device information, vendor documentation, or departmental approval.

  4. Procurement, privacy, security, or technical review — New software, cloud services, or tools that handle institutional or personal data may require additional review before a licence can be purchased or assigned.

  5. Licensing, access, or deployment — If approved, IT coordinates licence assignment, renewal, transfer, cancellation, activation, vendor account access, or deployment to managed devices where applicable.

  6. Confirmation and closure — IT confirms when access has been provided or when the licensing request is complete. If the request cannot be completed, IT will explain why and may suggest an existing Laurentian-supported alternative where possible.
